Broadcast messaging allows you to send a single message to multiple contacts at once—perfect for sharing educational content, event reminders, health tips, promotions, or general announcements. Subflow makes it easy to personalize and schedule these messages while remaining compliant and efficient.
Overview: What is a Broadcast?
Broadcasts are one-to-many messages that can be sent to targeted segments of your audience. Each broadcast can have one or more message steps, and can be sent immediately or scheduled for the future.
Use broadcasts to:

Send event reminders

Share wellness tips, guides, or educational content

Deliver pre-op/post-op instructions to a group

Promote new services or programs

Request feedback or reviews from a segment of patients
Broadcast States
Once a broadcast is created, it will appear in the Broadcasts Table, where you can view its current status:

Draft – Saved but not yet scheduled or sent

Scheduled – Set to send at a specific time
-
Sent – Successfully dispatched
-
Archived – Removed from active view, but still accessible for reporting
Creating a New Broadcast
To get started, navigate to the Broadcasts tab in the Messaging Center and click “New Broadcast” in the top-right corner.
1. Name Your Campaign
Create a name that’s easy to identify internally. A good naming format is:[Topic or Goal] – [MonthYear]
Example: At-Home Exercises – March2025
2. Select Your Segments
Choose up to three segments to send your broadcast to. Subflow will automatically deduplicate contacts who exist in multiple segments—ensuring each person only receives one message.
3. Compose Your Message
You’ll see a familiar message editor, similar to what’s used in one-to-one Conversations. You can:

Type your message manually

4. Add Multiple Messages (Optional)
Want to send more than one message in a single broadcast? Click “Add More” to include additional steps. This can be useful for:

Sending a follow-up shortly after the first message

Creating spaced educational or onboarding sequences

Offering next steps (e.g. “Click here to schedule” followed by a link)
Delivery Time Estimate
Subflow will estimate the time it will take to complete your broadcast based on:

Segment size
-
Message length
-
Organizational throughput limits
⏱️ Note: This is only an estimate. Actual delivery time may vary due to carrier response times, queue volume, or network delays.
Sending or Scheduling Your Broadcast
Once you’re ready:

Save your message to enter Draft status

From the Draft view, click “Send” to deliver immediately

Or, click the dropdown to Schedule the message for a specific date and time
When you hit Send, Subflow will queue the message and send it in batches based on your throughput rate to maximize deliverability.
Text Message Queues & Throughput Limits
Unlike chat messaging, text messages are queued and sent in batches through carrier networks. This ensures compliance and consistent delivery.

Broadcast Reporting
After your broadcast is sent, Subflow will generate a delivery report, including:

Total messages sent

Messages delivered

Messages failed (with reasons such as opt-outs or invalid numbers)
Use these insights to refine your messaging strategy and improve future campaign performance.
