Segments in Subflow are dynamic, data-driven groups of contacts that help you organize, communicate, and automate actions based on the information you've collected. Whether you're targeting contacts by location, behavior, risk status, or custom tags, segments give you powerful control over how you engage your audience.
What is a Segment?
A Segment is a group of contacts defined by filters based on:

Demographic data (e.g., city, zip code, age, gender)

Custom fields (e.g., insurance type, provider, visit history)

Tags (e.g., "High Risk", "New Patient", "Post-Op")

Communication preferences or any saved contact property
Segments are dynamically updated, meaning contacts automatically enter or exit segments as their data changes. For example:
If you have a segment called "High Risk" based on a tag, any contact tagged “High Risk” will be included. If that tag is removed, the contact is automatically removed from the segment.
Why Use Segments?
Segments are a powerful way to:

Send personalized bulk communications via Broadcasts or Emails

Group contacts by cohort for internal tracking

Accessing and Creating Segments

Click “Segments” from the left-hand navigation menu.

You’ll see a list of all existing segments and their sizes.

To create a new segment, click “New Segment” in the top-right corner.
Creating a Segment:

Name your segment (e.g., “New Patients – January 2025”)

Add an internal description to clarify the purpose

Click the filter icon to begin building your segment rules
You can filter by:

Tags
-
Custom fields
-
Demographic data
-
Communication preferences
Note: Filters within the same column act as OR conditions, while filters across multiple columns act as AND conditions.

Save a Segment from the Contact Table
You can also build a filter directly in the Contacts Table view:

Apply filters using the sidebar

Click “Save as Segment” when it appears
-
You’ll be prompted to name and save the segment for future use
How to Use Segments
Once a segment is saved, you can:

Send Broadcasts to that group via text or email
-
Trigger a Workflow for every contact in the segment
-
Target automations to high-priority or time-sensitive groups
-
Monitor and manage contacts more efficiently in future dashboards (coming soon)
💡 Tip: Use segments to separate operational messages from marketing messages, or to run campaigns specific to patient types, programs, or geographic areas.
