Subflow allows you to upload, organize, and deliver any type of digital content through our Files system. Think of it as your built-in content library—similar to Google Drive or Dropbox—tailored for seamless sharing with contacts, patients, or team members via SMS, email, and workflows.
What Are Files in Subflow?
Files are digital assets (like documents, videos, PDFs, images, etc.) that you can:

Organize into folders (called Collections)

Easily share via direct links

Attach to messages, workflows, and broadcasts
-
Track (coming soon) for engagement and usage
Supported file types include:
PDF, PPTX, MOV, MP4, JPG, PNG, DOCX, XLSX, and more.

Creating a Collection (Folder)
To create a new folder to store related files:

Go to the Files tab in the left-hand navigation

Click the dropdown next to “Upload File” in the top-right corner

Select “Create Collection”

Name your collection (e.g., Patient Onboarding, PT Exercises, Pre-Op Materials) and save

Click into the new collection to begin uploading content
Uploading a File
Once inside a collection:

Click “Upload File” in the top-right corner
-
Choose a file from your local device
-
The file will appear in your collection once uploaded
Managing Files
Each file in your collection has an options menu (three dots icon) where you can:

Copy Link – Generate a unique URL to send to contacts via SMS, email, or workflows

View Details – Upload a custom thumbnail (used as a preview/OG image when shared)

Edit Properties – Rename the file, update metadata, or set as Published or Unpublished

Download – Save the file to your local device
-
Move To – Reorganize files into different collections
-
Delete – Remove the file permanently

Your contacts can open these links directly in their mobile browser with no downloads required.
Using Files in Messaging
You can easily attach files when communicating with contacts by:

Clicking the attachment icon in the message editor

Typing
/to open the quick attachment shortcut and selecting File -
Adding links directly to conversations, broadcasts, workflows, and templates

Group files by use case (e.g., Pre-Visit Resources, Nutrition Plans)

Use clear, descriptive file names (e.g.,
Knee Rehab Week 1.pdf) -
Set custom thumbnails for easier internal identification

Only mark content as Published when it’s ready to share
Storage Limits Based on Plan
Subflow restricts the amount of content you can host based on your current subscription plan. If you reach your storage limit or need additional space for videos, files, or documents, please contact support@subflow.com to explore upgrade options and increase your storage capacity.
